Are you looking for a fresh challenge as an Office Manager?

The successful candidate will be forward thinking with a ‘can do attitude’, will be experienced in working in a busy School office team environment as well as self-motivated. They will be fully computer literate and have strong written and verbal skills. They will have good interpersonal skills, be very organised and show they have previously implemented successful improvement processes. As the job holder will be required to deal with customers, they will be expected to have excellent customer service skills and a confident telephone manner.

What we expect from you

• Management of the Office Administrators to ensure the delivery of a fully effective administration service.
• Delivery of an efficient and professional administration service, undertaking general office administration duties including answering the telephone, responding to daily emails, printing registers, dealing with parent queries, working with and covering for the Administrators when required.
• Responsible for ensuring the reception area runs smoothly; visitors are welcomed in a professional manner and children are booked in and out of sessions safely adhering to Safeguarding and GDPR requirements.
• Responsible for the cash collection process ensuring all payments for sessions are made on time and in full and recorded correctly so records are up to date at all times.
• Working with the Holiday Club Coordinator to plan, organise and ensure all resources are in place to enable the effective delivery of all holiday clubs.
• Responsible for the development and implementation of a new booking telephone hotline system for customers.
• Answering and taking bookings and payments via the online booking system dealing with booking difficulties, monitoring cancellations, and waiting lists of sold-out activities.
• Using knowledge of modern technologies and systems, responsible for ensuring the office phone system is effective, printers & photocopiers are serviced & kept in good working order and stationary supplies are ordered and available for use, negotiating contracts to obtain the most cost-effective solutions.
• Responsible for ensuring Company insurances and liabilities are up to date and fit for purpose.
• Effective management of company tablets to ensure awareness of location, content and ‘ownership’ at all times.
• Responsible for the archiving system ensuring it is ordered and clear and complies to any relevant legislation e.g. HMRC rules.
• To act as PA to the Directors, taking on ad hoc tasks/projects/day to day administration as required i.e. organising monthly management meetings, taking minutes, maintaining noticeboards.
