Job Description:

Role: Sales Administrator

Location: Leeds

Kier living are looking for a Sales Administrator to join their tema in the Northern Region.

Key Duties:

* Reservation forms checked and loaded onto Coins when paper forms are used, paper form scanned in and saved under the relevant development in the Sales M Drive
* CML forms checked duly signed by the Sales Advisor and are then scanned in and saved under the relevant development in the Sales M Drive
* To check all ATP and ATEs, ensuring these are scanned and saved in the relevant Sales M Drive
* Any errors/queries to be raised direct with the sales advisor.
* To obtain signatures of any contract/lease documentation for the sites allocated
* Checking the weekly on site sales/build notes to ensure that all colour choices forms due are received and any not provided to be chased
* Pick up any actions relevant to themselves from the weekly on site sales/build notes
* Processing meter readings and council tax notification following legal completion and receipt of meter reading forms. Chasing for same when not received within 5 working days of legal completion.
* Following the process for extras incentives, the forms are to be distributed as per the agreed process and be scanned and saved in the Sales M Drive
* Following the process for extras orders, the forms are to be distributed as per the agreed process and be scanned and saved in the Sales M Drive
* Extras payments of 50% on order to be logged and the process to capture the balance due upon completion to be followed as per the extras process
* Quotations for extras process to be followed and any issues to be flagged to the Sales Director
* A transparent and visible record of quotes, orders, incentives and payment to be maintained for easy access and reference by the Sales Director
* To be included in the notification of all exchange of contracts, notice served and legal completions in addition to the Sales Director and to ensure continuity of notification to the Sales Advisor in the absence of the Sales Director
* To ensuring administration is done and cheque requests processed within 5 working days for any cancelled Early Birds, Reservations, Assisted Moves etc and same is duly authorised for payment and payment issued in no longer than 10 working days from cancellation.
* To ensure all sales activity is in accordance with the Property Misdescription Act and to immediately raise any concerns covering this legislation with the Sales & Marketing Director.

Individual Requirements:

* A clear, effective and professional communicator in both verbal and written communication who is self- motivated with the ability to work on their own initiative and under pressure.
* Highly organised, structured and able to effectively time manage themselves in order to work to demanding deadlines
* Develop a good understanding of the administrative process to understand the connectivities and links and to contribute and suggest improvements as appropriate to the administrative processes to the Sales & Marketing Director.
* A positive and proactive style and attitude that is able to respond well to pressure and demands of colleagues
* The ability to build rapport with a range of people and develop strong working relationships based on mutual respect and trust, communicating in a professional and appropriate manner with colleagues, internal departments, external contacts and customers
* To be well presented with a professional manner
* A positive and proactive individual who is self- motivated, target driven, efficient and decisive with the ability to work on their own initiative as well as part of a team.
* To contribute positively in team activities, meetings and discussions.
* Positively promote Kier and the company values.
* A high standard of literacy and numeracy demonstrated through minimum GCSEs is required.
* A high level of accuracy is considered essential in this role as is a meticulous attention to detail.
* Be able to demonstrate the use of: email, word, excel, internet and be computer literate. Experience of Coins and 4P is desirable
