Team Overview 

To provide an excellent customer experience through the delivery of a best in class Front of House service serving all internal and external customers. 

A team of two reporting into the Reception & Concierge Manager, the Front of House service delivers Reception and Concierge functions where the primary focus is delivering a world-class customer experience. 

Purpose of the Role 

Supervise the entire Front Office operation to ensure an excellent customer service is provided at our Corporate headquarters building. You will be responsible for managing the first impressions of our visitors and ensuring that the Reception and Concierge team deliver an exceptional experience to visitors, staff members and tenants of the building. 

To provide both Reception and Concierge services to internal and external customers. Your team will be the first point of contact for callers and visitors to our busy London office at Riverside House. Act, as an ambassador for Ofcom and you will be setting high standards of service, using your initiative and showing forward thinking in order to obtain this level of performance. 

Requirements of the Role 

– Provide continuity for Reception and Concierge 
– Maintain a consistently smart and professional appearance at Reception and Concierge 
– Ensure that each visitor is met in a professional and courteous manner 
– All calls are received, screened and dealt with efficiently and politely 
– Provide a proactive, professional service from your teams, monitor through feedback and switchboard data 
– Address all personnel issues for your teams, including attendance, annual leave, sickness etc 
– Maintain a complete understanding of the services you manage 
– Understand and use the meeting room booking system, Condeco 
– Ensure the Reception desk and Concierge work together to create a seamless ‘entry through to meeting room’ experience for guests 
– Liaise with Catering, Media and Post Room teams to ensure that all rooms meet the hosts’ requirements 
– Manage bookings that have been made incorrectly and wherever possible look for alternative solutions 
– Complete invoicing and other financial processes as required, escalating issues through to Facilities Manager 
– Liaise with the Facilities Manager to ensure that ‘no shows’ are logged and, where billable, charged for the rooms 
– Ensure that meeting rooms are checked regularly throughout the day (refer to daily checklist) 
– Carry out projects, as required by the Facilities Manager 
– Update Ofcom telephone directory on intranet liaising with appropriate stakeholders where necessary 
– Comply with all relevant Ofcom Policy and procedures and behavioural competencies 
– Ensuring health and safety policies and procedures are adhered to 
– Complete any other ad-hoc requests that are in line with your skill and capability 

Skills, Knowledge and Experience 

– Proven experience of managing small teams through good consistent leadership 
– Highly efficient administrator with the ability to multi-task 
– Friendly and helpful with the desire to improve services 
– Excellent telephone manner, with a clear speaking voice 
– Computer literate with Outlook, Word and Excel with the ability to create and maintain accurate records 
– Numerically competent 
– Excellent writing skills 
– Excellent understanding of customer service 
– The ability to build effective relationships through honesty, trust and communication 
– Ability to motivate, nurture and encourage aspirations 
– Strong personnel acumen 
– Ability to problem-solve effectively and show initiative, calming situations that have the potential to escalate 
– Confident in dealing with external and internal customers and colleagues at all levels 
– Takes ownership but understands the art of delegation when appropriate 
– Excellent interpersonal and communication skills 
– Analysing current best practices, taking a leading role in implementing improvement and change 

Desirable Skills / Experience 

– Proven experience of managing a small team 
– Knowledge of room booking systems 
– Knowledge of switchboard systems
