Description

Job Title: Project Finance Administrator

Reports to: Divisional & Technical Directors

Main Purpose of the Job

Based in our Central London office, you will work closely with the Project Managers and the Finance team to provide project financial and administrative support to multiple project teams.

The role will primarily be focused on ensuring the smooth running of the billing process in line with client requirements including generating invoices, assisting with chasing debt and financial forecasting.

Main Duties and Responsibilities;

  • Assist the Directors and Finance Business Partners with general project and finance admin
  • Collate project financial data and report to project managers
  • Ensure accurate reporting of project financial information and that all revenue is backed up by correct client documentation
  • Import reports from Unit4 into Excel and manipulate the data using pivot tables, VLOOKUP, SUMIF formulas etc
  • Gain a good understanding of WIP, debt etc to be able to track and manage these items and ensure that Project Managers provide status updates on critical items
  • Prepare invoices including back-up documentation
  • Maintain credit control notes in Unit4
  • Liaise with team members including finance and external third-party suppliers
  • Raise Purchase Orders for suppliers
  • Organise and instruct third party data (such as Traffic surveys) from external suppliers, including maintaining the external supplier details.
  • Document Control and Document Issue
  • Day to day maintenance of Business Management System

Qualification

NVQ level 4 or higher

· Relevant Degree in Finance, business or accounts administration (preferred)

· Recognised Quality Management Qualification (preferred)

Experience

· Min 2 years’ experience in a similar role

Skills

· IT literate

· Intermediate/ advanced Excel skills: Pivot tables, vlookups and other formulas

· Organisational skills

· Project Auditing

· Good Communication skills

· Good written English

· Experience in the review of project revenues and Work-in-Progress
