Job Description:

Project Co-ordinator, Liphook – £18-20,000 (Relocating to Godalming August 2017)

Our client, an expanding full service Event Technology company based in Liphook, is seeking a Project Co-ordinator to join their busy team. The successful candidate will be highly organised with strong administration skills and a good work ethic. Previous experience is preferred but not essential as full training will be given.

As Project Coordinator, you will manage multiple events delivering a high level of customer service both internally and externally on project plan, development and delivery.

Project Co-ordinator Key Responsibilities:

Event Management

* Co-ordinate the logistics, finances and resources for your projects
* Organise efficient and cost effective national and international travel & freight arrangements
* Manage and respond to client requirements and where appropriate liaise with Embassies and Consulates for correct import / export procedures and visas
* Maintain a positive and proactive relationship with both freelance and in-house event specialists and oversee negotiations in freelancers pay, expenses and itineraries, in order to keep within cost margins
* Total financial management of each project, including budgeting, preparing purchase orders, recording all expenditure, authorising supplier invoices and issuing accurate client invoices

Resource Management

* Responsibility for determining the resources required for each event and booking these in accordance with the Event plan
* Responsibility for co-ordinating logistics and scheduling crew members for the Event and maintaining effective communications with all parties to ensure the smooth management of any event changes and developments
* Active involvement in the Operations Systems and future bookings review to ensure effective resourcing and pro-actively manage potential resourcing challenges.

Client Management

* To develop strong working relationships with clients and generate repeat business
* Establish rapport and respect with all clients (and stakeholders) to deliver excellence and support high customer satisfaction levels
* Ensure effective communication systems to respond to client needs, feedback and unforeseen challenges

Project Administration

* Maintain company systems and event reporting
* Tracking Event development and decision making
* Team support cross function as the Event progresses to delivery
* Accurate record keeping and financial tracking

Salary & Benefits

* £18-20,000
* Monday to Friday 9.00-5.30 – office based with occasion travel to Events
* 20 days holiday plus BHs
* Pension
* Parking
