Office Administrative Assistant

Location: Edgware, Middlesex HA8 7AB
Salary: £10 per hour + Benefits
Contract: Permanent, Part Time
Hours: 20 to 25 hours per week. Ideally 9am till 1pm or 10am till 2pm Monday to Friday but there is flexibility. You will also attend our Mayfair Office on an ad hoc but regular basis.

An interesting and varied Office Admin Assistant role has arisen within a well-established firm of Chartered Surveyors and Residential Block Managers with offices in London, Manchester and Cheshire.

We are looking for an organised, hardworking and dedicated individual to work primarily in our Edgware Office supporting the Director, the Deputy Head of Residential Management and a team of Property Managers to successfully deliver their roles. At our Mayfair Office, you will support the Director, a Consultant and a small team of Surveyors.

Office Admin Assistant – The Role

  • Supporting administrative work linked to the management of Residential Blocks such as the production of letters / mail merges to go out to Residents / Leaseholders / Landlords and Tenants on a range of issues
  • Undertaking a range of other administrative tasks such as ordering office supplies and company stationery, producing marketing details, opening and sending out post, logging of property keys in and out, etc
  • Filing leases and other important property documents, scanning documents and archiving
  • Providing general administrative support and organising diary and meeting arrangements for the Director in Charge
  • Updating Major Works spreadsheet and chasing Property Managers linked to their Major Works progress and activities
  • Answering phones and greeting visitors to the office on an ad hoc basis

Office Admin Assistant – Skills and Experience

  • Experience in an office environment; a property environment would be ideal but any professional office environment would be suitable
  • An excellent, confident telephone manner
  • A highly organised and efficient approach coupled with effective interpersonal skills
  • Team working skills and an all-round positive and committed attitude to your role
  • Flexibility as you will be undertaking varied tasks some of which will have urgent deadlines and therefore you must be able to manage and prioritise your workload
  • Highly IT literate and willing to learn new systems; you will be using Microsoft Office packages including Word, Excel and Outlook as well as other software / databases e.g. QUBE, a Property Management package and Fixflo, a Fault Reporting package

Office Admin Assistant – Benefits

  • Pay rate of £10 an hour
  • 25 days holiday + Bank Holidays (this will be pro rata depending on your work pattern)
