Job Purpose

The purpose of the role is to provide administrative support to the Business Manager and the Company in the areas of Business services, HR, Digital Marketing and Training within a specialist service for people with brain injury.

You will work under the supervision of the Business Manager Work with senior Administrator and with Company Directors and all colleagues so as to help achieve good outcomes for Clients to meeting Statutory and Company requirements.

Main Duties and Responsibilities

  • Provide Personal Assistance to the Assistant Business Manager and Senior Administrator across all areas of the business to support regulatory compliance with Care Quality Commission requirements and meeting business
  • Support strategic development and implementation of services allied to business operation.
  • Assist in monitoring staff, client, business, finance and customer records ensuring these are up to date
  • Support production, analysis and dissemination of Key Performance Indicators including Management
  • Undertake general administrative duties including incoming and outgoing mail, general typing, filing, photocopying, faxing, scanning, collating information
  • Carry out general administrative duties such as updating and maintaining office policies and procedures, order office supplies and research new deals and suppliers
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Manage the Admin email account and Promptly and professionally answering and redirecting all calls/emails
  • Assist the Senior Administrator to maintain the office filing system in an acceptable state and to be aware of the location of all
  • Ensure probation and appraisals procedures are effectively monitored and followed through in timely manner.
  • Manage and be responsible for the company’s Training system in its entirety by–
  • organizing in house and external training programmes (including the provision of course feedback), maintaining training databases and working with managers to address new learning needs regarding specific employees and or different needs.
  • Producing and printing training materials
  • Ensure that staff records relating to training are fully consistent, compliant with requirements and up to date (Workforce Development Fund)
  • Management of training documentation and files (ensuring staff development folders are constantly up to date)
  • Management of e-learning platform (Social Care TV and NMDS)
  • Communicates with delegates over the phone and via text to confirm attendance.
  • Liaise with trainers to ensure they are fully prepared for course venue/delegates etc
  • Manage and grow our social media presence across all our social channels – LinkedIn, Twitter, Facebook.
  • Work on our company’s website to increase traffic, improve its design and add function to the site, create content for our blog, and keep website up to date
  • Assist the Senior Management Team as required
  • Reconciliation of purchase and sales ledgers and user statistics
  • Perform financial calculations as and when requested – monitor financial information for clients to provide monthly petty cash.
  • Respond to routine enquiries from staff/customers and supplier and investigate as required.
  • Any other administrative duties as required to ensure the smooth and efficient running of the
