ROLE: Executive Assistant

JOB TYPE: Perm

HOURS: 9.30am -6.00pm

SALARY: £34,430

LOCATION: Holborn

The Office of the Secretary General supports the Secretary General with his duties, providing high-level strategic and operational advice and practical support including appointment coordination, planning and evaluation, and high-level communications. OSG also serves as a critical interface between the Secretary General and the wider movement, International Secretariat staff and public.

ABOUT YOU

To provide the high quality of support required in this post, you will have significant experience in providing high-level executive support at CEO level or equivalent, ideally in an organisational with a

similar scale and complexity as this organisation. You will be comfortable working in a global organisation, with extensive experience working across cultures, time zones and languages. As the first point of contact for the Secretary General, you will be highly relational and an excellent communicator.

Fluency in English is essential, and additional language skills are desirable.

You will be able to demonstrate exceptional organisational skills, and a high degree of competence in managing a complex and frequently changing schedule. Experience and competence in

coordinating international travel and events are essential. You will have excellent time management skills and an ability to work effectively within a small team. You can demonstrate the political judgement and discretion to manage sensitive human rights and organizational information, and the initiative and discipline necessary for working with conflicting priorities and complex activities within a short timeframe on a daily basis.

Responsibilities will include;

* Manages the inbox, prioritizing, dealing with and responding swiftly and appropriately to all emails.
* Manages daily diary, and takes responsibility for scheduling meetings, arranging travel, coordinating agendas and briefings, and communicating and following up on action points or decisions.
* Take minutes and messages
* Maintains records of all travel expenditure and prepare expense reports of travel
* Understand and uses a broad range of internal systems and processes (e.g. booking travel and accommodation, purchase order/invoice processing, cash handling)
* Uses own initiative to plan time effectively and prioritise all incoming work on a daily basis and works autonomously
* Supervises volunteers to ensure their work contributes appropriately to delivery of team objectives, and facilitates a positive volunteering and working experience
* High level of client satisfaction ensured by prompt, courteous and professional service
* Drafting correspondence and other documents on behalf of a senior executive

Skills and Competencies required;

* Good numeracy skills, ideally with experience of processing expenses.
* Ability to communicate clearly, concisely and diplomatically in English – verbally and in writing, face to face and over the telephone. Experience of drafting correspondence and other documents on behalf of a senior executive.
* Strong inter-personal skills, including good negotiation and diplomacy skills and the ability to influence and persuade others.
* Proven ability to exercise political judgment and sensitivity on external and internal matters, and work with discretion as required.
* Experience in handling confidential information appropriately.
* Courteous and customer focused, with experience of service provision. Experience and ability to interact with high level interlocutors.
* Significant experience in providing high-level executive support at CEO level or equivalent in an organization of similar size and complexity
