Job Description:

Our client is a well known, specialised law firm who deal with international disputes and wide-spread investigations based in luxurious offices in the City of London near Liverpool Street. The client is seeking an Executive Assistant to provide partner support out of their London office.

The Executive Assistant performs administrative duties for the Partners they support. Responsibilities may include screening calls; managing calendars; making travel, meeting and event arrangements; preparing reports and financial data; training and supervising other support staff; and customer relations. Requires strong computer and Internet research skills, flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors. Sensitivity to confidential matters may be required. As an Executive Assistant you are expected to work closely with your Partners to find the best ways to support them. All Partners are different in their expectations and have unique needs, it is important for an EA to be flexible and adjust accordingly to meet those needs.

PRIMARY RESPONSIBILITIES:

* Diary management
* Workload management (i.e. assisting the Partner and senior managers to meet deadlines/actionable work)
* Arranging domestic/foreign travel
* Planning internal and external meetings, preparing and circulating papers
* Assisting with the production of reports, presentations
* Ad hoc support/administrative duties
* Providing functional unit cross cover

POSITION REQUIREMENTS:

* Minimum of 5 years’ experience in office management and human resource roles.
* Law firm experience is preferred, although not required.
* Ability to be a proactive self-starter with close attention to detail and an ability to understand the importance of detailed work within a larger context.
* Ability to plan, organize and carry out multiple related projects.
* Ability to work under tight deadlines and multi-task with detailed responsibilities for various aspects of the firm’s work.
* Must have the ability to make recommendations to effectively resolve problems or issues by using judgment that is consistent with the firm’s standards, practices, policies, procedures, and state and federal regulations.
* Must be tech-savvy.
* Ability to work across several different departments in a fast-growing office environment.
* Must possess the ability to work independently, as well as be a team player in a fast-paced and high-pressure environment.
* Must be flexible in order to respond quickly and positively to shifting demands and opportunities.
* Ability to collaborate in an effective and mature manner with co-workers, vendors, and clients.
* Ability to work effectively in a culturally and educationally diverse environment.
