Job Description:

An opportunity has arisen for a full time Customer Relations Administrator based in Sunderland. You must be able to work within a fast paced environment and communicate effectively with team members and management.

Successful candidates must have previous experience of logging customer cases and complaints fairly and efficiently, in accordance with company policies, regulatory requirements and customer service standards.

KEY TASKS / RESPONSIBILITIES:
* To coordinate complaints from initial receipt through to distribution.
* To log each complaint accurately categorising the Complaint Aspect, Product, Nature, Causal Business area and complexity prior to assigning work to the relevant work flow.
* Liaise effectively with all Business areas to ensure the complaints are logged and dealt with appropriately with the correct information gathered and logged within the regulatory timescales to minimise risk.
* Produce acknowledgements and other regulatory letters on time.
* Maintain avenues of work flow and take responsibility for own workbooks and Service Level Agreements. Manage the Customer Relations emails and Hand delivered correspondence.
* Receive and act upon feedback from the Team Leader and the Policy and Planning Analysts to improve personal and team competence.
* Ensure customer focus, quality and regulatory compliance is at the heart of all activities and processes to encourage customer retention.
* Understand procedures and systems.
* Complete the Training Matrix to demonstrate possession of multi-skills.
* Challenge current procedures where necessary and Identify opportunities to improve processes and service delivery in order to maintain and enhance internal and external customer experience.
* Provide excellent customer service at all times to both internal and external customers.
* Actively maintain own personal development plan and achieving own learning and development goals.
* Ensure all quality and productivity standards are achieved and any training needs communicated to Team Leader.
* Comply with all risk management processes associated with the role.
* Ensure fair treatment of customers throughout all aspects of the customer journey (Treating Customers Fairly).

* Establish strong relationships with internal colleagues to promote best practice, helping to train others and work both independently and as a team.
* Undertake a combination of administration related activities / processes that can include (not an exhaustive list):

– Filing
– Archiving
– Hand Delivered
– Incoming Spreadsheets
– Monitoring of Emails
– Pack production
– Photocopying
– Supporting Complaint Handlers

QUALIFICATIONS:
* GCSE English – C Grade or above (or equivalent)
* GCSE Maths – C Grade or above (or equivalent)

SKILLS/KNOWLEDGE:
* Excellent data input skills
* Excellent Written and Telephone communication skills
* Excellent Customer Service skills
* Ability to manage conflict with customers
* Good knowledge of Windows and Excel
* Good Organisational skills
* Good Service Delivery skills
* Basic Service Management skills
