Job Description:

Adecco are currently recruiting for an Administration Assistant for North Wales Police for a period of up to 4 months (starting on the 5th June). The hours are full time, Monday-Friday with a pay rate of £10.11 per hour. The ideal candidate must have sufficient administration experience, ideally who is NVQ3 qualified (or who has an equivalent qualification) and who can speak and write in both Welsh and English.

OVERALL PURPOSE OF JOB:

To be responsible for all computer and administrative duties involved in the processing of offences detected by the Wales Road Casualty Reduction Partnership – Go Safe. To provide administration for the Speed Awareness Scheme and any other schemes offered to drivers by NWP as an alternative to a Fixed Penalty.

DUTIES AND RESPONSIBILITIES:

To be responsible for all computer and administrative duties involved in the processing of offences detected by the Wales Road Casualty Reduction Partnership – Go Safe. To provide administration for the Speed Awareness Scheme and any other schemes offered to drivers by NWP as an alternative to a Fixed Penalty.

1. Log and process discs for verification.
2. Verify offences and file discs in secure storage area.
3. Manage the production and mailing of: –
* Notices of Intended Prosecution/S.172 Notices
* Conditional Offers
* Reminder letters
* Speed Awareness offer letters
* Speed Awareness completion letters
4. Scan and process returned Notices and correspondence.
5. Maintain the filing and bring forward systems and archiving of documents.
6. Manage telephone enquires, advise callers and update and minute system.
7. Respond to correspondence/emails and provide additional information e.g. copies of images as appropriate. Request further information when necessary.
8. Conduct further system checks for additional information using e.g. PNC, Experian, Companies House web site etc.
9. Instigate personal service or further enquiries with NWP and foreign forces.
10. Request further information from reporting officers when appropriate.
11. Update the DORS database for the Speed Awareness scheme and withdraw drivers on request or if exceeded time limit.
12. Liaise with course providers and update information on systems.
13. Record payments and licences and forward to HMCTS, Port Talbot for processing via the courier service.
14. Liaise with HMCTS re. payment and driving licence enquiries etc.
15. Forward files to the Evidence Assessors for advice or summons.
16. Produce copies of discs or clips from discs when requested.
17. Assist with the maintenance of IT systems and office equipment, reporting faults and liaising with engineers and manufacturers as required.
18. Train, mentor and assist new members of staff.
19. Promote and comply with North Wales Police policy on equal opportunities and Health & Safety both in the delivery of services and the treatment of others.
20. Any other duties as directed by a supervisory officer commensurate with the post and salary grading.

SPECIAL REQUIREMENTS:
The role requires applicants who can demonstrate (with evidence) skills in the following areas:

1. NVQ3 or equivalent qualification in Administration and / or proven relevant experience in systems administration work.
2. The use of Information Technology to an intermediate level that includes inputting/typing skills to at least 35wpm
3. Clerical / Administrative experience to include filing, indexing photocopying and typing.
4. Proven communication skills, commensurate with the requirements of the role.
5. Ability to work as part of a team or independently using own initiative.
6. Ability to prioritise work and meet deadlines, responding positively under pressure.
7. Working knowledge of Microsoft Office applications.
