Job Description:

Due to growth in the business Fit For Sport are now seeking to expand our Training department with the addition of a Training and Compliance Administrator, joining our team at our head offices in Brentford, London. Reporting to the Head of Training and Head of Safeguarding & Compliance you will assist with the efficient and timely administration of our staff induction, training and compliance. You will be heavily involved in the development of the Training Administration systems and processes, affording you the opportunity to put your own stamp on this role.

What You Will Be Doing:

  • Working from the Companies Reception desk you will provide the first point of contact for all Head Office visitors. Welcoming, guests and staff you will ensure all guests are signed in and out.
  • Complete the day to day departmental (Training & Compliance) administrative tasks
  • Create, Update and Maintain personnel data on the company intranet (WorkPepper) in relation to training and compliance
  • Produce daily, weekly, monthly and adhoc reports and distribute to support the Training, Compliance and Recruitment departments
  • Administer the company E-Learning platform ensuring all newly recruited team members are assisted through the process, to completion of the Fit For Sport minimum standards e-learning
  • Administer and track the induction progress for all new team members and provide milestone updates to Training, Compliance and Recruitment
  • Manage the ordering and distribution of all Site First Aid Kits/replenishments ensuring adequate stock levels are maintained
  • Maintain an accurate record of Fit For Sport policies and procedures; ensuring they are available on the company Intranet (Work Pepper) and distributing to sites
  • Manage the “Accident & Incident” email account and spreadsheet, producing monthly reports ready for distribution to Leisure Partners
  • Collate, Track and Upload Compliance and Quality Audit information onto the company intranet (Work Pepper)
  • Ensure management of the “Orders” email account, ensuring the production, collation and distribution of all requested materials to sites, maintaining an accurate record of orders linked by site and region
  • Manage the “Training” email account responding and redirecting as appropriate
  • Monitor and to act as a first responder to the “Inspections” email account
  • Assist with the Ofsted registration process and distribute Ofsted registration certificates
  • Collate Risk Assessments & Self-Assessment Forms for Ofsted annual compliance review/s
  • Provide first level response to all training enquiries including the administration of all training courses and internal and external candidates
  • Maintain the Paediatric First Aid course booking process and certification, checking invoices are ready for the Quality Assurance Manager and Head of Training to sign off
  • Setup course, venues and training events onto the company intranet (Work Pepper)
  • Register both internal and external new learners onto the E-learning platform, awarding organisations qualifications; recording, tracking and prompting attendance, completion and achievement, ensuring accurate information is maintained for audit purposes
  • Order and distribute awarding organisations manuals and Fit For Sport training materials
  • Assist with updating Awarding organisation centre information to retain centre approval
  • Record and distribute learners’ certificates
  • Record course evaluations and feedback surveys, compiling reports for the Head of Training
  • Support the Product Development Team in the production, printing ordering and distribution of arts and crafts, sports kit and other resources for camps and extended schools
  • Manage the administration of the Apprenticeship Scheme
  • Conduct regular Site calls
  • Any other reasonable adhoc or project work
