Description

A leading worldwide luxury travel agents based in Putney, West London is looking for a dynamic Office Coordinator. You will be responsible for managing and maintaining the daily running of the office, assist the HR team with administrative duties as well as assist the CEO with diary management and PA tasks. You will be a confident business support specialist with 1 to 2 years experience in administration, Front of House or Office Management. This is a large and busy office of over 100 people therefore this is a fantastic opportunity for someone who enjoys bringing creative solutions to an ever changing environment.

Core Key Responsibilities:

* In charge of the running and general up keep of the office and all communal areas
* Manage and maintain the office including deliveries, maintenance and stock checks
* Manage stock and order stationery, supplies and food orders as well as cleaners
* Co-ordinate and meet and greet external People team meetings to the London office
* Assist with the organisation of staff parties and socials
* Process all HR Team invoices relating to office purchases and recruitment
* Co-ordinate facilities access for new starters and leavers
* Assist the CEO and Directors with diary management and PA tasks
* Organise and store paperwork, documents and computer-based information
* Photocopy and print various documents, sometimes on behalf of other colleagues
* Assist in the administration of any recruitment drive events in the UK
* Ensure that all public areas are kept clean and tidy at all times
* Organise repairs for equipment and ongoing maintenance when required
* Ensure all annual Health and Safety, fire hydrants and PAT testing are booked and completed
* Assist with Health and Safety Administration
* Assist with the administration of benefits such as travel, medical and dental insurance
* Welcome all HR Team visitors to the building and inform relevant team/member
* Maintain the company org chart, Outlook address book and intranet
* Completion of purchase orders for any People team expenditure
* Generally help out in office as and when required
* Such other duties as management may reasonably require from time to time
