Salary: £12,000 a year, inclusive of London Weighting Allowance at £1,495 a year (full time equivalent £24,000 working 37.5 hours a week inclusive of London Weighting Allowance at £3,072 a year)

Working hours: Part time working 18.75 hours a week, flexible between Mondays and Fridays, between 8am – 6pm (Flexible hours to suit candidate but must be able to work on Fridays)

The Conference Sales Coordinator plays a vital role in bringing in new and current organisations to use the conference facilities at Resource for London. The team includes a full time Conference Sales Coordinator who you will report to, a Centre Manager, a Facilities Manager, several Facilities Support Assistants and two Receptionists.

The post centres on selling meeting and conference space by telephone, email or face-to-face. 40% of the working hours will be spent on sales and marketing with the remainder on providing administrative support as detailed below.

You will spend a lot of time getting to know our customers and finding the right space and resources for their event. This role allows relationships to be built by taking the organisation from the initial sale through the bookings process to the actual event. Working with the full time Conference Sales Coordinator, the part time duties will include:

Sales and Marketing

• Gathering market and customer information

• Contacting potential customers to arrange meetings for new business

• Maintaining and developing relationships with existing customers in person and via telephone calls and emails

• Listening to customer requirements and presenting appropriately to make a sale

• Responding promptly to incoming email and phone enquiries

• Keeping clear records of all enquiries both for reporting and analysis purposes, and to enable follow up contact

• Negotiating the terms and conditions of a sale, making accurate, rapid cost calculations and providing customers with quotations

• Advising on special promotions and managing e-bulletins

• Recording sales and entering into the bookings system

• Feeding future sales trends back to Resource for London

• Supporting the production of publicity materials, printed and digital

• Assisting with digital media campaigns to raise the profile of the conference and meeting spaces

• Representing Resource for London at exhibitions and events

Bookings Administration

• Administrating the bookings for meetings and conference rooms, catering and technical equipment

• Managing booking enquiries through phone calls and emails, including web-generated enquiries

• Responding promptly to enquiries, and advising clients on bookings, including providing quotes

• Setting up new clients on the Booking System, creating new accounts and maintaining up-to-date client information

• Providing Booking Acknowledgements for the clients

• Catering to the individual needs of the conference users, including specific equipment and disabled access requirements

• Filing and maintaining a logical system for cross-reference and easy access both on the computer and hard-copy

• Liaising with Reception, Facilities and Catering staff for conference requirements

• Liaising with Finance staff with regard to room bookings, targets and aged debt

• Generating and sending out invoices and credit notes, respond to invoices queries

• Maintaining a clear record of feedback responses and analyze data to improve our service. Answer to their comments if needed

• Manage the Online booking system

• Follow-up with enquiries and failed bookings to see if feedback can contribute towards service improvements

• Assisting with room setups, PA and AV requirements for conferences and meetings when extra assistance is needed

Reception / Administration duties

• Covering reception at lunchtimes and other times in the absence of the receptionist

• Welcoming visitors, announcing their arrival and directing them to the appropriate tenant organisation or meeting room

• Providing information and assistance to visitors, including information on the way that services in the building operate

• Helping to establish and maintain excellent communication with tenant organisations

Other responsibilities include

• Covering for other members of the team when they are attending training, on holiday, etc.

• Dealing with emergencies when they arise

• Working to improve the company’s social and environmental objectives

• Attending company-wide events and training, such as; the annual Staff Conference, Equality and Diversity training, Company Induction day and Christmas lunch

• Other duties as required, in line with the role.
